Handing your Shopify month to your tax adviser

Close the month, check the figures, pass on the file in DATEV format. How the monthly hand-off works, by file or, on the Pro plan, by link.

The short answer

When a month is over, you close it in the app and download one file. You send it to your tax adviser the way you already exchange papers.

On the Pro plan you can skip the attachment. You make a link, and your tax adviser downloads the file themselves, with no login.

In the app

Once, before the first month, you enter your tax adviser's details in the settings: adviser number, client number, first day of the fiscal year and G/L account length. Then every month:

When the month is over, open it from the month list.

Put the completeness line next to the finance summary in your Shopify admin. The page names every order that is not booked, with the reason.

Click "Close the month", then "Download the file". The file's checksum is shown next to it.

Send the file to your tax adviser, by email or however you usually do.

On the Pro plan: a link instead of an attachment

On the page of a closed month, "Make a link" creates a link for your tax adviser. Download the file once yourself first.

The link is shown only once. Copy it and send it on. Your tax adviser gets exactly the file whose checksum you saw. If the month changed in your shop since then, the link gives out no file, and the month's history tells you why.

It works for this month only, for 30 days and no later than the 60th day after the 1st of the month. It stops sooner when you click "Withdraw link", open the month again or leave the Pro plan.

The page shows when the link was last used and how often. The app keeps nothing about who opened it.

Pro costs 29 USD a month. On every plan you can download the same file yourself and send it on.

If something changes after the hand-off

A refund belongs to the month you pay it back in. A refund in October for a September order is in October's batch.

If a closed month changes later, the month page tells you. Open it again, close it again and pass on the new file. Give your tax adviser the checksum with it, so they know which file counts.

On the Free plan, only one month can be closed at a time. To close the next, you open the previous one again. The file you already passed on stays with you and with your tax adviser.

What the app does not do

You do the hand-off, the app makes the file:

It sends nothing to your tax adviser. You pass on the file, or send the link.

It uploads nothing to DATEV.

It reads orders from the last 60 days only, so hand a month over soon after it ends.

Shopify Payments payouts and fees are not in the file.
